Position Overview:

We are seeking a talented and experienced Conference Organizer/Event Planner to join our team. Moreover, the ideal candidate will be passionate about event management, detail-oriented, and possess excellent organizational and communication skills. This role offers the opportunity to work on a diverse range of projects. Additionally, you’ll be collaborating with clients and stakeholders to bring their vision to life.

Responsibilities:

Plan and execute conferences, seminars, workshops, and other corporate events from concept to completion.

Coordinate all aspects of event logistics, including venue selection, catering, audiovisual requirements, and transportation.

Manage event budgets, ensuring expenses are kept within allocated funds while identifying cost-saving opportunities.

Additionally, liaise with clients, sponsors, vendors, and other stakeholders to understand their needs and expectations. Ensure to provide exceptional customer service throughout the event planning process.

Develop event timelines, schedules, and production plans, and oversee onsite event operations to ensure smooth execution.

Source and negotiate contracts with suppliers, vendors, and contractors, ensuring quality, value, and adherence to deadlines.

Handle event promotion and marketing efforts, including social media, email campaigns, and print materials, to drive attendance and engagement.

Conduct post-event evaluations and analysis to measure success and identify areas for improvement.

Qualifications:
  • Proven experience in event planning and execution, with a minimum of 3 years in a similar role.
  • Strong project management skills, with the ability to multitask, prioritize, and meet tight deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with clients.
  • Creative problem-solver with a keen eye for detail and a passion for delivering exceptional event experiences.
  • Flexibility to work evenings, weekends, and travel as required for events.
